Communications Project Manager

As a Project Manager at Circlepoint, you will be at the forefront of project delivery—ensuring excellence in planning, execution, and profitability. You will oversee every detail of a project, from strategy and budgeting to resource allocation and deliverable execution. What You’ll Do:

Project Management & Execution

  • Develop and implement project strategies aligned with client objectives.
  • Lead project kick-off, planning, execution, and debrief meetings.
  • Oversee resource planning, staffing needs, and workflow coordination.
  • Track and manage budgets, schedules, and deliverables to ensure project success.
  • Maintain clear and open communication with teams and clients regarding project scope, changes, and challenges.
  • Ensure all project activities align with contract expectations for deliverables, budgets, and timelines.
  • Proactively address scope changes, securing approvals for out-of-scope work.
  • Implement cost control measures to maintain and maximize project profitability.

 Leadership & Team Development

  • Lead, mentor, and motivate project teams to achieve outstanding results.
  • Provide coaching and feedback to enhance team performance.
  • Conduct performance reviews and identify professional development opportunities.
  • Foster a collaborative, high-performance work environment.

Client Relations & Engagement

  • Serve as the primary point of contact for clients, building and maintaining strong relationships.
  • Understand client needs and proactively identify opportunities to exceed expectations.
  • Provide regular progress updates and maintain transparent communication.
  • Drive client satisfaction and long-term partnerships.

Business Development & Marketing

  • Generate and grow new business, targeting $500,000+ in annual project work.
  • Actively promote the company’s capabilities and strengths to potential clients.
  • Attend pre-bid meetings, networking events, and industry engagements.
  • Develop project scopes, budgets, and proposals to secure new opportunities.
  • Collaborate with leadership and marketing teams on business development strategies.
  • Contribute to proposal writing and project interview preparation.

What You Bring to the Table:

  • Degree in communications, journalism, or a related field.
  • 5-10 years of experience in project management, strategic communication, or related fields.
  • Strong expertise in strategic communication and public information writing.
  • Proven ability to manage budgets, schedules, and deliverables effectively.
  • Client-focused mindset with exceptional relationship-building skills.
  • Strong leadership, delegation, and mentoring abilities.
  • Ability to manage multiple projects simultaneously with attention to detail.
  • Proficiency in MS Office and project management tools.
  • Strong marketing, business development, and presentation skills.
  • Valid driver’s license and ability to travel to public meetings/events (1-2 times per month).
  • Physical ability to lift and carry event supplies up to 20 lbs as needed.

Environmental Senior Associate

The Senior Associate I works in close communication with the Project Manager to deliver projects for our environmental division. The Senior Associate I oversees complex technical sections of environmental documents, review products developed by other staff, directs research, and ensures delivery of complete, accurate documentation. The Senior Associate I also coordinates with subconsultants, clients, and vendors to maintain project schedule, shares information between team members, and proactively identifies challenges or potential delays and elevates to the project management team.

The Senior Associate I position requires strong time management skills and the ability to work within the schedule and budget constraints for multiple ongoing projects. The position delivers excellent customer service to internal teams, vendors, and clients, and is accountable for quality and accuracy of information in work products. A strong understanding of CEQA fundamentals is required and some exposure to NEPA is preferred.

The Senior Associate I is expected to demonstrate a high degree of resourcefulness, critical thinking, problem solving skills, initiative, and a solid understanding of business communication protocols. The Senior Associate I may be asked to support marketing efforts by assisting on proposal research and writing.

Job Requirements
Project Management

  • Provide high-level support for the Project Managers including development and monitoring of project schedules and budgets
  • Initiate and maintain communication with Project Managers, clients, subconsultants, vendors, and other special services or team members
  • Participate in client interaction and maintain positive client relationships, as instructed
  • Supervise, direct, and manage the day-to-day tasks of internal members of the project team, as instructed
  • Assure the quality of work products
  • Draft progress reports for Project Manager review and approval

Research and Writing

  • Conduct independent research and/or oversee research from other team members
  • Independently produce clear, concise, technical documents tailored to specific audiences
  • Demonstrate understanding of complex technical reports and successfully convey technical information in lay terms for CEQA and NEPA documents
  • Demonstrate understanding of strategic written communication with clients

Document Production

  • Demonstrate understanding of graphic needs; articulate how to visually enhance technical information to tell the story
  • Apply quality and consistency standards to edit project deliverables prior to Project Manager and client review, including editing, formatting, and proof check
  • Oversee timely production and delivery of environmental documents

Meetings

  • Act professionally and diplomatically to represent the firm at external meetings
  • Orchestrate internal project check-in meetings and clearly communicative technical issues to demonstrate full understanding of the analysis
  • Organize client meetings and demonstrate to Project Manager an understanding of the purpose of the meeting, the desired outcome, and the strategy employed to achieve project goals
  • As requested by the Project Manager, attend public meetings and respond knowledgeably to questions by the public, staff, and decision makers

Marketing (Working with Project Managers and Principal)

  • Take initiative to identify work opportunities, including add-on work
  • Maintain master resume and draft marketing materials
  • Assist in the preparation of proposals, scopes, and budgets with increasing level of independence
  • Participate in informal marketing initiatives

Other General Duties

  • Responsible for specific deadlines and budget objectives as directed by the Project Managers
  • Oversee maintenance of project files
  • Proactively meet and exceed client needs and expectations
  • Represent Circlepoint in an independent and professional way with existing and potential clients

Job Skills & Requirements

  • Bachelor’s degree in planning, environmental studies, or related field and/or four years of experience in CEQA and NEPA document preparation

Environmental Assistant Planner

The Assistant Planner drafts written materials, conducts research, coordinates document production and delivery, and provides excellent customer services to internal services teams, vendors, and clients under the close guidance of the deputy project manager, and/or project manager, and/or principal. Assistant planners must convey detailed technical information accurately, precisely, and concisely through verbal and written formats within established time constraints and budgets. A working knowledge of the California Environmental Quality Act (CEQA) and National Environmental Policy Act (NEPA) fundamentals is preferred.

Job Duties
Research

  • With guidance, conduct research using available public information and/or project-specific technical reports
  • Conduct field visits to gather data (i.e., document existing land uses, photograph existing visual character, obtain local planning documents, etc.)
  • Oversee the creation, maintenance, and updating of project mailing lists and other necessary project databases and trackers
  • Maintain internal project archives

Writing

  • Write accurately and succinctly for a variety of audiences
  • With guidance, draft reports, report sections, correspondence, meeting summaries, and other products as assigned
  • Collate tables, charts, maps, and graphics
  • Evaluate technical data and prepare written summaries of key points

Product Production

  • Review written products for typographical and grammatical errors
  • Review documents for appropriate format, pagination, and graphical presentation
  • Coordinate preparation of graphic materials with Creative Services and outside vendors
  • Manage printing and distribution

Other General Duties

  • Attend and participate in team meetings
  • Other duties as assigned by Project Managers
  • Maintain 92% utilization

Job Requirements

  • Bachelor’s degree in planning, environmental studies, or related field
  • Entry level experience position. Experience in environmental planning, urban planning, technical writing, research, or related field preferred
  • Working knowledge of CEQA and NEPA regulations preferred
  • Customer service orientation
  • Strong communication, technical writing, and presentation skills
  • Proficient in Microsoft Office programs, particularly Word and Excel
  • Valid driver’s license and clean driving record
  • Occasional travel during workday, nights, and weekends (less than once per month)
  • Physical demands include ability to lift and carry supplies.
  • Work environment is office setting and occasional work at client offices

Location: Hybrid in San Jose
Salary Range: $60,000-$67,000
